Guidelines
Please note that all users agree to abide by facility usage, campus solicitation, off-campus speaker, and posting policies as outlined in the Carolina Community: Student Handbook and Policy Guide,
http://www.sa.sc.edu/carolinacommunity/index.htm.
Two week notice for most events is recommended with a minimum of 48 weekday hours notice required. If unforeseen circumstances necessitate a request for a reservation in a shorter time frame, the LC staff will attempt to fill the request to the best of its ability.
Reservations will not be taken for any event more than 6 months in advance.
Cancellation must be received by 3:00 pm three business days prior to the event and can be sent via email to wqlcstaf@gwm.sc.edu. Because of the high demand for facilities within the WQLC; an organization or department that reserves a facility and does not use it and fails to cancel the reservation within a reasonable amount of time may be assessed a $25 cancellation fee for each room. Student organizations, faculty, or staff that fails to show or cancel will result in the following:
First occurrence – warning
Second occurrence – loss of privileges for a month
Third occurrence – loss of privileges for a semester
Due to high demand, rooms may be occupied only during specified event times. Events may not begin until 30 minutes after the building opens. Events must end 30 minutes before the building closes. Groups exceeding these time limits without prior approval will be assessed a fee of $100 for any increment of the first hour and $50 for any additional hour. To obtain prior approval, the group will be required to pay the extended hour fee of $25 per hour.
A Room Fee will be charged to University departments, academic units, and university affiliated groups who use the WQLC for revenue-generating programs (i.e., sales, seminars, conferences, or workshops where a registration fee or attendance charge is paid by participants). NO room fee will be assessed to University Departments or Student Groups if no revenue is generated. Groups without university affiliation will not be allowed to use the Center.
A User Fee of $20 will be assessed whenever additional labor is needed as a result of user activities.
The Green Quad Sustainable Dining Project is part of the Learning Center’s mission to promote collaborative relationships to explore the changes required to create a sustainable society. The project was developed to provide sustainability guidelines for groups and to encourage them to experiment with sustainable dining practices.
All groups serving food in the Learning Center must pay a User Fee of $20 and follow at least the Silver Level of sustainable dining. The User Fee will be waived for groups following the Gold or Platinum Level guidelines. When contacting Carolina Catering, request the “Sustainability Option” (also known as the “china option”). For assistance in meeting the Silver Level guidelines, please call the Learning Center at 777-1994.

Temporary Carolina Cards will be issued to the sponsor requesting the room reservations. Cards can be picked up no more than 24 hours prior to their reservation and must be signed out. Temp. Cards must be returned with in 48 hours after event. Lost or stolen cards should be immediately reported to the WQ Learning Center Staff. There will be a $25 replacement fee for the lost or stolen card.
The amphitheater and the green roof may be reserved for activities such as speakers, concerts, or picnics. However, because the amphitheater is located in the center of a student residential facility, the availability of areas for certain uses will be contingent on residential and academic schedules.
Flame, glitter, or water may not be used in the Learning Center. Additionally, the use of nails, tape, glue, thumbtacks, or adhesive on the walls, ceiling, doors, door frames, draperies, light fixtures or columns for attaching materials is strictly prohibited. This scars the facility and will result in additional user maintenance fees.
Registered student organizations, University departments and units, and faculty/staff organizations whose purpose is in line with the mission of the center are eligible to reserve WQ learning center facilities. Off campus organizations may arrange space though an affiliated university department or unit to be sponsored. For student organizations, an officer must initiate the reservation request.
